The process
- During the storage procedure Optical Character Recognition (OCR) occurs on every document
- The system examines the resulting data if there are predefined words and phrases among them
- In case of a positive match an alert or a permission procedure is launched
- Responding to the alert can prevent the illicit access to the document
- When it is uncovered that documents illicitly transmitted to an improper place, the information can be retrieved from the document library from whom and when the document originated and what copies have been made of it

- At the right points of the workflow the system sends e-mail notifications
- The format and content of the e-mails can be customized

- When the “secure printing” function is in use, a workflow with customized parameters can be launched. It identifies both the status and the version of the document.
