Five reasons for the implementation

  • Excel, Access spreadheets, or paper-based datasheets can effectively be consolidated in the system
  • Data security is improved
  • Easy to retrieve and report data
  • Registry can be changed continuously
  • Different cases can be managed in one system, on one interface

Business areas of use

  • Every business activity includes the generation, processing and connecting data and information, then their transformation based on some logic. Forms provide a supporting interface to this:
    • they can be used as a data registry related to a product, item, or service (e.g.: real estate registry)
    • forms can support the processing of a management procedure and can serve as an administration interface (e.g.: service related administration, credit proposal, supply permission, etc.)
    • forms can serve data entry functions (both manual and automated) based on which other activities or documents can be generated. (e.g.: offer generation, contract generation)
    • based on the form’s data fields:
      • further metadata can be generated automatically (e.g.: credit limit calculation)
      • an automatic check of conditions can be run – depending on its results, different actions can take effect (verification actions or conditioned workflow forks)
  • Retrieval and detailed filtering are possible with a sophisticated search engine based on well parameterized forms’ data
  • Based on forms’ data a precise executive reporting system can also be built

Form structure

For the sake of effective data storage and visual display forms are built up of “tabs” and “containers” and metadata.

  • Tabs: they support the visual organization of metadata assigned to each form
  • Containers: their purpose is logical data grouping
  • Metadata: they define the required data fields for a given case

Form features

  • An unlimited number of forms can be generated
  • An unlimited quantity of metadata can be assigned to each form
  • One metadata field can be used in multiple forms
  • MS Word and MS Excel templates can be filled with metadata
  • We developed an independent system for metadata management, search and report inside the system held together by the form technology
  • Complex data entry displays assigned to procedures can easily be created

Special features of metadata types

Beside type settings, multiple special features can be defined when the forms’ metadata are parameterized. Some features:

  • Variables: Text, giant text, integer 4 byte, integer 8 byte, decimal, logical, date, special features, automatic date, registry field, e-mail address, master data field, user variable, fixed value variable, interval variable, multiple fixed value variable
  • Mathematical and SQL operations can be set
  • For metadata field level authorizations can be set that are assigned to roles and that can be changed at workflow phases
    • in a drop-down field one from multiple fixed values can be selected
    • a master data field can only be filled from predefined master data
    • the manual and master data fields can be filled both from master data and by manual data entry
    • e-mail address metadata
    • master data extracting field
    • multiple selection item field
    • date field
    • registry number field
    • user data
    • calculated data
